Secure Client Review Workflow
A studio is reviewing an unreleased trailer with its agency. The post supervisor has a list of six names who may see it, and nobody else. The link must not be forwardable, and anyone who screen-records should be identifiable. The suite streams with Pixelview Desktop as in a standard review; the difference is in how access is handled.
Before the session
- Create a new project for this cut. Do not reuse an old project or its password. Click the refresh button to generate a Password, turn on Set expiration time so access ends by itself, and choose Activate Now.
- Under Security settings on the Sessions page, turn on Disable group link. The watch link now does nothing; only invited viewers can join. To make this the default for every project, turn on Always disable group links in Settings → Other. See Session Access and Invites.
- Turn on Watermark and click the pencil button next to it. The text defaults to project, date and session; set Size, Color and Opacity so it is readable without blocking the picture. Watermarking depends on your plan, so check it is available before promising it. See Security Best Practices.
- Under Viewers, enter each name's email address and click Invite. The Address Book keeps addresses you use often. Each invite is private and can be revoked on its own.
- Save a neutral pause message in Settings → Pause Message and click Pause for viewers before you start the stream, so early arrivals see a holding screen rather than the suite's output.
During the session
- Keep the Viewers panel open. Confirm every name against your list before you click Resume for viewers. An unfamiliar name, city or device is a reason to stop.
- If someone who should not be there is online, click Kick. If an invite went to the wrong address, click Revoke so it stops working. See Viewer Management.
- Keep the meeting in the session: Start Video Call and Chat instead of a separate call, so nobody needs a second link. See Collaboration Tools.
- For internal discussion, click Pause for viewers. If the chat contains notes that the next group should not see, click Clear current session chat in Settings → Other.
After the session
Delete the project, or let it expire, and revoke the invites. Never paste a watch link into a shared channel or a document that outlives the review.
Operators should each have their own Admin login with a team role and two-factor authentication rather than a shared password. See Protect the account.
